Overview
When a CONQA user requests a sign-off, CONQA sends an email notification to the specified email address. Clicking the link in that email will open the full checklist so you can review the QA detail and complete your sign-off in one place.
What you can see and do within the checklist depends on your user role. See the User Roles & Permissions article for a full overview.
Step 1: Open Your Sign-Off
You can access your sign-off in two ways:
From email — Click the link in your sign-off request or sign-off resubmitted notification email.
From in-app notifications — Tap the Sign-Off Request notification in the CONQA app or webapp.
Both will take you directly to the relevant checklist.
Step 2: Log In
You will be prompted to log in if you are not already signed in. Enter your email address and use the one-time code sent to you. If MFA is enabled on your account, you will also need to enter the relevant token.
First time using CONQA? You will be asked to create a profile before proceeding.
Step 3: Review the Checklist
Once logged in, you will see the content of the checklist from which the sign-off has been requested. The page automatically scrolls to the sign-off checkpoint you have been asked to complete, so you can see it in the context of the surrounding QA data.
Your level of access within the checklist depends on your user role:
User Role | What you can see | What you can do |
Viewer / Reviewer | Full checklist in read-only mode — checkpoint statuses visible | Action sign-offs assigned to you only |
Viewer | Full checklist in read-only mode — checkpoint statuses and data visible | Action sign-offs assigned to you only |
Site User, Project Admin, Account Admin | Full checklist visible including checklist statuses, photos, attachments and comments | Action sign-offs assigned to you, plus all other checklist actions you would normally have access to (e.g. adding comments, changing checkpoint statuses, attaching files or photos) |
If you have been assigned multiple sign-offs on the same checklist, you can complete all of them from this view.
Step 4: Action the Sign-Off
On the sign-off, you can:
Add a comment — leave a note for the requester.
Upload a file or photo — attach any supporting documents, such as certificates.
If you are not ready to approve the submission, detail what is required using the 'Send comment' button and hit Send.
When you request more info, the requester will be notified in CONQA. Any additional documents they attach will appear on your screen, and you can continue to exchange comments and files until you are satisfied.
Reject the sign-off — if the work does not meet the required standard, you can reject the sign-off outright.
Step 5: Approve the Sign-Off
Once you are ready to approve:
Confirm that the submission is correct.
Upon approval, the sign-off status will change to Approved.
Please note: Once you have approved a sign-off, no further changes can be made. Make sure you are satisfied with the submission before confirming.
Finding Your Sign-Offs
You can view all sign-offs assigned to you via the My Sign-Offs option in the side menu of any project. This shows sign-offs assigned to you within that project, and can be filtered to show only those requiring your action. Sign-offs can also be searched by name.
Reviewer role: My Sign-Offs is available to Reviewers in the side menu, even though Reviewers do not have access to the full CONQA app or Console. This is the primary way for Reviewers to navigate between their outstanding sign-offs.
Switching Back to the Previous Reviewer Experience
If you'd prefer to return to the previous sign-off experience, select the 'Return to the old experience' link at the top of the page. This will take you back to the old review experience. You can switch back to the new experience at any time from the side menu.
We would love any feedback you have around the new and improved Reviewer experience. If you prefer the old Reviewer experience, we'd love to hear why.
